Please notify your requests for changes or cancellation by email directly to the meeting organiser. The hotel has its own cancellation policy from 30 days prior to arrival depending on the date of cancellation. Please ensure you understand the policy for the hotel you are booking.

Please indicate your estimated time of arrival during the booking process. If you wish to guarantee your room is ready before the hotel check-in time it is recommended that you book and pay for the room for the evening prior to your arrival.

If you wish to extend your stay prior to or following the ASM, please specify your requirements in the additional nights required field during the booking process. Availability and rates will be checked with the hotel before your reservation is fully confirmed.

Please note that payment of accommodation is not taken at time of registration, however a credit card is required at the time of booking to secure your room with the hotel. If you won’t have the credit card at check in time because it is your workplace card or it is not in your name, you will need to complete a credit card authorisation form. From 30 days prior to arrival, hotels will charge this credit card for all your accommodation charges. Please ensure you understand the hotel’s payment policy (outlined below).
